
Het Bos in Antwerp is a vibrant artistic hub fueled by social commitment and raw creativity. It's a living house driven by a community of makers, artists, and thinkers. But how do you keep this creative chaos in check?
Het Bos has come a long way. In their early days, they were legendary in the scene for hosting energetic, DIY punk shows. Over a few years, the organization professionalized, secured vital subsidies, and evolved.
This growth led to the construction of a building designed purely around their diverse needs: housing concert halls, a cinema, a kitchen, a restaurant, a bar, an exhibition hall, and workshop spaces. It’s a place made to create, develop, and exhibit creativity, with a particular focus on young and up-and-coming artists.
Operating with high energy, they currently host around two concerts and one party per week, alongside a dinner night, free workshops, and exhibitions. Crucially, the team actively strives to combine as many elements as possible into a single evening, allowing visitors to experience music, art, food, community, and fun together in one building.
Their mission remains simple: keep the art accessible and the energy high. But while the mission is pure, the financial reality presents a challenge. Since the available subsidies are insufficient, Het Bos must not only find ways to generate additional revenue, but they also need to operate efficiently, save time and budget.

Charlotte Jacobs, operational manager at the time of our conversation and currently the day-to-day manager, recognises the difficulties that come with such an ambitious venue. "We try to combine as much as possible," Charlotte explains. "On a single night, you can catch a concert, visit an exhibition, and share a meal. Everything can blend together; that’s what makes Het Bos so vibrant. But with that passion came a fair bit of internal chaos."
Before integrating Stager, the sheer volume of activity was managed through a patchwork of unlinked systems. Charlotte Jacobs: "We used to work with endless Excel sheets, separate calendars, and different, disconnected tools for ticketing and communication. It was a massive amount of manual work, and we had very little overview. Everyone had their own way of doing things, so finding the right, up-to-date information was always a struggle."
Ticketing, a necessity for revenue, was initially handled through Eventbrite, which was proving to be expensive, a significant hurdle for a non-profit organization trying to maintain accessibility.

The introduction of Stager began with a purely financial decision.
Charlotte Jacobs: "We needed a more affordable option than Eventbrite. That was the main reason we switched to Stager in the beginning." What started as a simple cost-saving measure for ticketing soon grew into something much larger. Step-by-step, the team began integrating Stager for planning, advancing, and internal communication. This was the critical shift that changed Charlotte's job.
Charlotte Jacobs: "Now almost everything lives in one system. From production planning to sales numbers, everyone from the sales staff to the production manager knows what’s going on. Our internal calendar runs entirely through Stager, so if anyone wants to know what’s happening in the building, they only have to check one place. That eliminates 90% of our former communication issues."
Even the small details of her day-to-day work saw immense improvement, particularly when the lights went down and the crowd came in.
Charlotte Jacobs: "On a busy, high-energy night, it’s amazing to just open your phone and check the Stager app to see exactly how many tickets have been sold or who’s scheduled to work. No more struggling to open and refresh complicated spreadsheets on my phone in the dark."
This radical shift from manual, expensive, and scattered systems brought something truly valuable back to Het Bos: time, a rare commodity in the demanding world of events and art management. The system finally brought the operational chaos under control.
Charlotte Jacobs: "We now have more space to focus on the essence: our artists, our visitors, and our team. The practical side takes care of itself. This efficiency gives us the capacity to focus on quality, personal development, and most importantly the pure joy of what we do."
Thanks to Stager, Het Bos can continue its mission, going from strength to strength. They are no longer dragged down by the operational demands of their past, but are focused on what they do best: providing a vibrant, multidisciplinary space where music, art, community, and boundless energy thrive.
